To present an event, confirm date and carefully review and submit items below on time in order for event to take place.
STUDENT RECITALS
Recital slots are provided for students with required recitals. Performance Majors, Composition, Conducting, and students with Performance Honors have required recitals. Students who wish to arrange a lecture recital who want to use a classroom will discuss this with their advisor and should schedule with operations directly.
Limited non-required recitals may be accommodated if time is available. Elective recitals are available to music majors only, and must meet all standard recital requirements, including faculty approval, a passed PRJ, and meeting all deadlines for paperwork and program submissions.
If a date needs to be changed at a student’s request, please be advised new dates are not guaranteed to be available.
Your completion of all aspects of recital preparation, including all paperwork and programs, are critical to a successful event, and are important learning outcomes, and professional development.
PLEASE BE SURE TO SUBMIT ALL THESE FORMS ON TIME

YOUR PRE-RECITAL JURY
You must select a recital committee (jury) consisting of your major teacher, another teacher from your area, and a third faculty member from a different area. You may have more than three jurors. All the jurors MUST be able to attend the recital. At this time, also set a pre-recital jury date – your PRJ should take place no later than 3 weeks before recital. You are responsible for scheduling this with your jurors and booking the space with Bryan Watson bwatso02@syr.edu.
- Make sure you schedule the date, time, and room for your PRJ well in advance of the date.
- Bring the STUDENT PRE-RECITAL JURY FORM (PRJ), which must be signed by the committee at your PRJ, and four printed copies of your recital program.
- After the successful completion of the pre-recital jury, return the signed Student Pre-Recital Jury Form (PRJ) to Bryan Watson in 301 Crouse.
- Schedule your dress rehearsal; 1 hour is allowed, if available, and arrange for keys with the Bryan Watson. This is your responsibility – if you do not make arrangements in advance, you may not be able to access the hall. Rehearsals are not staffed, so you must be sure you have the keys, equipment, and everything you need for rehearsals as well as putting the space back in order after use.
FACULTY and ENSEMBLE EVENTS
These are scheduled at the annual scheduling meeting, and if addConfirm date with Michelle Taylor.
Submit the Event Services Request.
This is due no later than four weeks prior to the event and is required for all events in order to be sure the event can be properly supported. For more complicated events, please request a meeting to discuss production details. Please note: use of any space requires compliance with applicable guidelines. Please monitor university, local, and school information for updates.
When possible, we will accommodate recital dates for current faculty. These are not paid, but we do not pass along staffing costs, etc.
FOR ALL EVENTS
MARKETING
Events are listed on the VPA calendar, Setnor facebook, and posters may be displayed in Crouse. Please provide an image and event description for the website. We are not able to market individual events. Please be aware of this so any expectations on audience development can be managed.
The university has very specific marketing and branding guidelines. Use of the branding materials, as well as any marketing and promotion for the university, should be carefully curated and may require prior approval. More details are available: The Syracuse University Brand – Syracuse University
POSTERS
STUDENT RECITALS: If you would like individual posters, you are responsible for creating and printing your own posters. You may post a maximum of 10 posters announcing your recital no sooner than 2 weeks before the recital. Posters cannot be placed on glass, walls, or in classrooms, elevator, restrooms, or offices (they will be removed). They may only be posted on bulletin boards and lockers. Please remove them immediately afterward or they may be removed and discarded.
FACULTY/ENSEMBLE EVENTS: Posters will be created, or you can supply posters to the office for posting.
EQUIPMENT
Use of special equipment, such as organ, percussion, etc, must be approved in advance by faculty in that area. If you need a harpsichord, you MUST arrange for tuning with Bob Lee four weeks in advance and arrange for additional help in your recital. Sound or other technical needs beyond acoustic set up must be approved in advance. Fill out event or recital forms early and reach out if you have questions about your set up needs.
Rehearsals are not staffed. You are responsible for any set up needs for rehearsals as well as for performance set up of groups larger than 15 people.
PROGRAMS
Submit the completed and proofed program template. This is due no later than 10 days prior to event in doc form. Programs should be submitted completed – proofed, and ready for printing or you may also opt to provide your own printed programs if preferred, but please supply a digital copy to the office to be used for streaming and archives. We do not proof or print program notes. You may create and supply for distribution at your event. We recommend you save them on a landing page and suply a QR code to add to programs. Event Parking: For most concert events, free and accessible parking is available on campus in the Quad lot. When parking for concert events, please inform the parking attendant that you are attending a Setnor music event so they may direct you. If a large campus event is taking place during your performance and limited parking will be available, you may be asked to provide a brief list for parking.

FOR SPECIAL PROJECTS
Project Proposals
Projects might include masterclasses, workshops, conferences, recruitment activities and more. For any projects that are not concerts on campus in connection with a class, please complete the Special Project Request – Formstack
Do not book or confirm any arrangements until proposal is fully approved and budget is confirmed in writing. Please note that proposal approval may then require additional forms and compliance items be completed, including a number of mandatory University or VPA forms and processes. Please be as specific and provide as much information as possible in order for proposal to be reviewed sufficiently. If materials provide enough detail, a follow-up meeting will be scheduled. If there is not enough detail, the proposal cannot be considered.

CLINICS
Faculty who have been contacted about presenting a clinic or hosting a visiting group for a rehearsal or tour, must follow these initial steps:
- identify faculty personnel who will work with the group and serve as the faculty host – this person will be the main contact, will register the clinic, and be there for the event
- review schedule, size of group, equipment needs, and the proposed activity on campus (example- attend a rehearsal, have a clinic with a faculty member, take a campus tour)
- work with operations to determine if space is available
- connect with admissions regarding campus tour and recruitment information at admissu@syr.edu
- register the clinic with the Programs with Minors – to take a tutorial and complete the registration, visit how to register SU sponsored programs
- advise guests on parking and bus directives, coordinating with operations.
The drop off for Crouse College is generally at the bottom of the hill at Crouse Drive and Waverly, so the bus has the space to turn back out of campus. The Quad lot behind Crouse College is not large enough to allow larger vehicles to turn around. Operations will work with Parking on drop off and pick up. In general, drivers depart campus and return for pick up, or meet the group at a designated spot where they are eating later. If a parking on campus is needed, it is generally on South Campus Campus Maps – Parking and Transportation Services – Syracuse University - if groups wish to eat, they can be directed to check on campus dining areas Meals and Dining on Campus – Syracuse.edu, or neighborhood locations. We cannot offer locations in Crouse for catering or eating meals that are brought in.
- if groups have several activities on campus, instruments or personal items cannot be stored in Crouse, so this should be factored into their planning. The university is not responsible for lost or stolen items, including musical instruments.
- Faculty cannot be paid for clinics individually by schools because payment for employees for work on campus can only be processed through the university. Full time faculty presenting clinics would be considered part of recruitment service or would take place within classes and/or rehearsals.
IMPORTANT REMINDERS
Minors on Campus Program Registration – any program in which minors are involved, including education programs, visits from school groups, clinics, etc requires this important university compliance process. USE OF FACILITIES for activities outside of university assignments: Current faculty, staff, or students should only use campus spaces for programs that are part of the academic program. Other activities, such as giving private lessons to non-university personnel, cannot take place on campus property.
